The Reformer Retreat Company Ltd — Terms & Conditions

1. Booking & Deposit
1.1 Your reservation is provisional until we have received the £500 non-refundable deposit and you have received written confirmation from us.
1.2 A contract comes into effect only when The Reformer Retreat Co. Ltd has issued written confirmation.
1.3 The deposit payment may be transferred to another retreat within the same calendar year, subject to availability
1.4 A transfer to an alternative retreat shall only be permitted where a written request is received no less than four (4) months prior to the original retreat start date.
2. Prices & Payment
2.1 All prices are quoted and payable in pounds sterling (GBP). You are responsible for any bank or transfer charges; please instruct your bank to cover all sender fees.
2.2 The balance of your retreat fee is due no later than four (4) months before the retreat start date. If payment is not received in full by that date, we reserve the right to cancel your booking and retain your deposit.
3. Travel Arrangements
3.1 You are solely responsible for arranging and paying for your transport to and from the retreat (including flights and airport transfers) unless expressly stated otherwise.
3.2 We accept no liability for delays, cancellations or missed connections, or for any irregularities in travel documentation.
4. Travel Insurance (Mandatory)
4.1 You must hold comprehensive travel insurance that covers:
• Reformer Pilates and all other retreat activities
• Cancellation or curtailment
• Medical expenses and repatriation
• Loss of personal belongings
4.2 Bring a copy of your policy with you; you may be asked to present it on arrival.
5. Health & Fitness
5.1 You must inform us in writing before booking of any injuries, medical conditions, recent surgery (within six months), pregnancy, or other circumstances that could affect your safe participation.
5.2 Consult a medical professional familiar with Reformer Pilates to confirm you are fit to take part.
5.3 Retreat venues may include uneven terrain; participation is at your own risk.
5.4 If you experience pain or discomfort during any activity, stop immediately and inform the teacher. We reserve the right to refuse participation if we believe your health or safety is at risk.
6. Dietary Requirements
6.1 Our standard menu is vegetarian. We can accommodate vegan and gluten-free diets with at least 30 days’ notice.
6.2 We regret that we cannot cater for severe or life-threatening allergies, nor guarantee an allergen-free environment.
7. Cancellation by You
7.1 You may cancel up to four (4) months before the retreat start date; the deposit remains non-refundable, but any additional payments made will be refunded.
7.2 From four months onward, all payments become non-refundable. If you find a replacement participant, we may, at our discretion, refund part or all monies (excluding the deposit) once the new participant has paid in full.
7.3 Refunds approved under 7.1 or 7.2 will be processed within 10 working days of written cancellation.
7.4 No refunds (full or partial) are given for early departure or unused services once the retreat has begun.
7.5 Claims for losses should be directed to your travel-insurance provider.
8. Changes or Cancellation by Us
8.1 We reserve the right to make changes to teachers, itinerary, or accommodation. Any change will be of equal or higher quality, and you will be notified as soon as reasonably possible.
8.2 In the unlikely event that we cancel the retreat, you will receive a full refund of all monies paid within 10 working days. This is the limit of our liability.
9. Our Liability
9.1 We will deliver the retreat with reasonable skill and care as described.
9.2 We accept no liability for events beyond our control, including (but not limited to) war, terrorism, natural disasters, industrial disputes, staff cancellations, airline or transport disruptions, unforeseen changes in your personal circumstances.
9.3 Participation in Reformer Pilates and all other activities is at your own risk. We are not liable for any medical or psychiatric conditions, which may develop during or subsequent to the retreat.
10. Group Bookings
Where one person books on behalf of others, that person warrants they have authority to bind all named individuals to these Terms & Conditions. All group members are jointly and severally liable for the full booking cost.
11. Personal Property
You are responsible for the security of your belongings at all times. We accept no liability for the loss of, theft, or damage to, your personal belongings during the retreat. All items are brought at your own risk.
12. Complaints Procedure
12.1 If a problem arises during your retreat, please inform the Retreat Leader immediately so we have the opportunity to resolve it immediately.
12.2 If the matter remains unresolved, you must submit a written complaint to hello@catherineriding.co.uk within 14 days of retreat completion. Complaints received after this period cannot be considered.
13. Privacy & Data Protection
13.1 We do not store credit-card details and will never share your personal information with third parties except as required to deliver the services you have booked or where legally obliged.
14. Photography & Content Creation
14.1 Throughout the retreat, we will take photographs and create a group photo album so you have a lasting memory of your time with us. We encourage participants to share photos in this album. Please be aware that some images may be used by The Reformer Retreat Co. for promotional purposes in the future and may be posted on various social media platforms. If you are not comfortable with your picture being taken, please advise the Retreat Leader.
5. Programme Changes
15.1 The Retreat Organiser reserves the right to amend the retreat schedule, class timings, instructors, activities, or programme content where reasonably necessary due to circumstances beyond its control, operational requirements, weather conditions, safety considerations, or in order to enhance the overall retreat experience.
15.2 Any significant changes will be communicated to guests as soon as reasonably practicable and, where appropriate, discussed during the retreat.
15.3 The Retreat Organiser reserves the right to substitute any advertised excursion, trip, treatment, or activity with an alternative of equal quality and value should it become unavailable for any reason.
15.4 Such amendments shall not constitute a breach of contract and shall not entitle guests to compensation or refund, provided that the overall retreat experience remains of a comparable standard and value.
6. Force Majeure
16.1 The Retreat Organiser shall not be liable for any failure or delay in performing its obligations under this Agreement where such failure or delay is caused by events beyond its reasonable control.
16.2 Such events may include, but are not limited to, acts of God, natural disasters, extreme weather conditions, fire, flood, epidemic or pandemic, government restrictions, travel restrictions, war, civil unrest, strikes, industrial disputes, supplier failure, or any other unforeseen circumstances beyond the Retreat Organiser’s control.
16.3 The Retreat Organiser shall not be liable for any additional costs, losses, or expenses incurred by guests as a result of Force Majeure events, including but not limited to travel, accommodation, or insurance costs. Guests are strongly advised to obtain comprehensive travel insurance to cover such circumstances.
